When Stephen Betts & Sons first chose Supreme Systems to be their new IT Support company, we underwent our usual onboarding process that includes a full audit of the client’s IT infrastructure. Subsequently, the topic of their on-premises Exchange Email server came up. This was very outdated and running an old operating system that was nearing its end of life, at which point it would become a security risk to the business.
Supreme Systems recommended Microsoft 365 Hosted Exchange as a replacement solution for a few reasons
Exchange capital costs (CAPEX) for operational costs (OPEX)
Lower costs both for implementation and on-going
Reliability – Hosted Exchange has a 99.99% uptime and benefits from Microsoft’s investment in datacentre resilience
Scalability – It is simple to increase or reduce your user count as and when you wish with Exchange-as-a-Service, whereas an on-premise Exchange solution requires that you maintain licences for the highest number of users that you will ever have
Compliance – Exchange Online meets numerous compliance and regulations certifications including ISO 27001 and the European Union (EU) model clauses.
For these reasons the Betts Group decided to go with our recommendation and the project was planned.
The first phase of migrating Stephen Betts & Sons to Microsoft 365 commenced with an investigation to understand the architecture of the Exchange, including mailboxes, shared calendars, distribution groups, aliases, etc. At this point, the existing configuration was deemed to be outdated, complicated and dis-organised, due to the previous IT supplier never having removed old employees or maintained the Exchange. So, a review was undertaken to streamline the email configuration as much as possible. We also needed to identify any connections to third-party applications and websites critical to the business. With this done we had a documented architecture for the new email system that could be configured.
Another challenge to be overcome was to ensure that every user had the latest version of Microsoft 365 applications installed on their devices.
Our team commenced the project by updating all end-user devices and backing-up all user accounts to be migrated. These were then uploaded to the newly created 365 portal and the DNS records altered to point incoming mail to the new system.
The final stages included recreating email signatures and restoring user preferences to ensure Betts staff found everything as they had left it prior to the migration. Our engineers finished by configuring printers and SMTP devices to ensure they functioned correctly with Microsoft Office and then testing thoroughly that everything worked as expected.
The migration to Microsoft 365 was undertaken over a weekend and no disruption or downtime was caused to the business.
